Digital Copies of Supporting Documentation

Parkes Shire Council requires digital copies of plans and supporting documentation to be submitted with all Development, Section 82A and Section 96 Applications of the Environmental Planning & Assessment Act and Section 68 of the Local Government Act.

Part of the Parkes Shire Council's commitment to continuous improvement and accessible information, the initiative will enable:

  • Plans and documentation to be electronically displayed on Council's web site during the exhibition period for Development Applications (DA).
  • Town planners to extract relevant excerpts into assessment reports.
  •  Easier copying of information during exhibition, to meet Council's statutory requirements.
  • Document can be more readily stored in Council's electronic document management system.

During the notification period, documents and plans lodged with the above applications will be available to the public to view and/or copy, subject to copyright and other legislative requirements.

For smaller developments valued at under $100,000, Parkes Shire Council will offer a scanning service for those applicants unable to provide digital copies of plans and supporting documents.  Fees for the scanning service are as follows:

 Digital File Requirements

There are specific requirements when submitting an application digitally.

Development Applications, Section 96 amendments and 82A reviews and Section 68 Applications must be accompanied by a CD-ROM containing all plans and supporting documentation.

These documents will be used for notification purposes. They are in addition to and do not replace any current submission requirements. Any additional or updated information supplied after submission must also be accompanied by a CD-ROM containing the amended or new information.

Digital File Format

In order to preserve the integrity of documentation across multiple platforms, files must be supplied in Portable Document Format (PDF). Ideally documents should be exported from CAD, Vector, Bitmap or Word Processing software directly to PDF. This method is most likely to preserve the visual quality of your submission. File Sizes

Plans

Each plan must be supplied as a PDF file no larger than 1Mb in size and optimised for publishing to the web.

Accompanying Documentation

All accompanying documentation must be supplied as a PDF, A4 formatted and optimised for publishing to the web. PDF files larger than 500Kb should be broken up into logical parts and supplied as separate files.

File Naming

Files are to be supplied using the following naming convention.

  •  Use descriptive file names.
  •  Include the file type extension (eg. PDF)

Plans

One file for each plan.
File names to include, in order:

1. Plan Description (eg. elevation, site plan, floor plan)
2. Plan Number (including version)
3. Date Drawn (preferably in DDMMYYYY format).

For example:

  • Elevation South v4 24112005.pdf
  • Site Plan 24112005.pdf
  • Floor Plan – Ground Floor 22122005.pdf
  • Floor Plan – Floors 5 to10 22122005.pdf

Accompanying Documentation

One file for each document.

File name to include, in order:
1. Document Name (eg. Statement of Environmental Effects, Heritage Impact Statement)
2. Date of the Document. For example:

  • Statement of Environmental Effects v12 24112005.pdf
  • Noise_Impact_Statement 24112005.pdf
  • Heritage Impact Statement Part 1 04062005.pdf
  • Heritage Impact Statement Part 2 04062005.pdf

Accuracy Requirements

The documents must be exact reproductions of the original source documents. The declaration within the application form must be signed.

Scanning Service

For small developments with a cost of works under $100,000, Council will offer a scanning service for a fee, as per Parkes Shire Council's Schedule of Fees and Charges. However, Council prefers that the digital version be submitted on lodgement to minimise the processing time.
